Booking Terms

1. Contracting party

The accommodation service is provided by, and serves as the customer's contracting and payment partner, Elves Hotels Oy (Business ID 3521701-5, VAT number FI35217015, Korkalonkatu 36 L 1, 96200 Rovaniemi, Finland).

2. Making a booking

The person making the booking must be at least 18 years old. A booking is created once the payment provider has confirmed payment and you receive a booking confirmation by email. The booking is binding once confirmed.

3. Prices

All prices are charged in euros and include applicable VAT. Any other mandatory fees are disclosed during the booking process. If Finland later introduces travel-related taxes or fees, they will be charged in accordance with the rules in force at the time.

4. Payment

For online bookings we accept the most common debit and credit cards as well as other electronic payment methods. Cash (euros) is also accepted at reception. Corporate invoicing is available as prepayment invoicing for companies that have set up a corporate account — new companies can contact sales@insidervisit.com or make a booking by calling reception.

5. Changes and cancellations

Change, cancellation and no-show terms depend on the rate type you select, and are shown during the booking process before payment as well as in the booking confirmation.

6. Arrival and departure

Check-in begins at 4:00 PM (16:00) and check-out is by 11:00 AM (11:00) at the latest. Reception serves around the clock, and late arrival is possible at any time of day or night using the door codes.

Early check-in from 2:00 PM (14:00) (€20) and late check-out until 1:00 PM (13:00) (€20) are available subject to availability — both must be booked and requested in advance. For guests booking directly through our website, these services are free of charge, subject to availability.

7. Children

There is no separate charge for children. A crib is included in the room rate — please let us know of the need separately when booking. The number of people staying in a room must not exceed the number of guests stated in the booking.

8. Pets

Pets are allowed only in rooms designated for pets. Pets must be reported when making the booking, and any applicable pet fee will be charged in accordance with the booking terms.

9. Hotel rules

The hotel is smoke-free. Smoking is subject to a €500 charge.

Quiet hours are from 10:00 PM to 7:00 AM (22:00–07:00).

Parties are not permitted in hotel rooms.

The guest is liable for any damage caused. Damages are charged at a minimum of €200, or the actual cost of the damage if higher.

10. Traveller information

We collect the personal data required by law from every overnight guest, at minimum name and date of birth, before or upon check-in. This data is processed and stored in a system that meets GDPR requirements.

11. Force majeure

The hotel is not liable for bookings that cannot be fulfilled due to force majeure (natural disaster, pandemic, government orders). In such cases the booking will be refunded in full.

12. Governing law

These terms are governed by Finnish law. Disputes will be resolved through negotiation wherever possible. Consumer disputes may be referred to the Finnish Consumer Disputes Board.
